[edit] Big Experiment Steering Committee Guidelines

[edit] Purpose:

The purpose of the Big Experiment Steering Committee (BESC) is to help Looney Labs organize and oversee the activities at the annual Origins event known as The Looney Labs Big Experiment.

[edit] General Requirements:

  • The Steering Committee shall consist of between 8 and 15 members.
  • The Steering Committee shall meet primarily via online forums (i.e. the mailing lists and wiki).
  • The Steering Committee shall try to meet in person at Origins.

[edit] Expectations:

  • Steering Committee members' primary responsibility is to help Looney Labs plan and organize a highly successful gaming event at Origins.
  • Steering Committee members are expected to participate in periodic discussions on the BESC mailing list and encouraged to monitor the discussions on the general Origins mailing list.
  • Steering Committee members are expected to provide general guidance, solicit input from the Origins general list, provide feedback, etc.
  • Steering Committee members are expected to monitor the process and suggest improvements to enhance the fan community participation and evaluate the effectiveness of various techniques and methods.
  • Steering Committee members are expected to encourage fan community participation.
  • Steering Committee members are expected to be accessible and respond to community members who request information about Origins.
  • Steering Committee members are expected to work constructively towards effective and acceptable conflict resolution, when needed.
  • Steering Committee members are expected to publicly support the decisions of the BESC and will not undermine those decisions in public discussions.
  • Steering Committee members will not directly share any BESC emails outside the committee unless permission is granted by the committee.
  • Steering Committee members who do not fulfill the expectations listed above will be removed at the discretion of the Steering Committee Chair.
  • The Steering Committee will prepare an outgoing report in the weeks following Origins, to be read only by the following year's Steering Committee. This report will contain lessons learned on what worked well and what didn't, suggestions for improvements, etc.

[edit] Terms of Membership:

  • Steering Committee memberships are for one year only. Term appointments will be made in October and become effective in November.
  • The Steering Committee Chair is a one year term membership, with no restriction to length of terms.

[edit] Election of Members:

  • The Steering Committee Chair will be a Looney Labs Employee.
  • Steering Committee members will be selected by the Steering Committee Chair based on suggestions from BESC members, employees, fans, etc.

[edit] Other Provisions:

  • At least 75% members of the Steering Committee must participate on an issue up for a vote. (note: the number of members needed to participate will be determined by taking 75% of the number of committee members and rounding it to the nearest whole number). Decisions will be made by majority vote.
  • Should a tie occur, the Chair's vote will be counted twice, effectively breaking the tie.
  • The Chair reserves the right to overrule the decisions of the Steering Committee if such action is in the best interests of Looney Labs.
